How to Onboard a New Virtual Assistant in 3 Days

Onboard your VA in 3 days — Virtual Raket blog cover

A good virtual assistant can make a difference in their first week, but only if they have what they need to get started. Most onboarding problems aren't about the VA's skills. They come from missing logins, vague instructions and no clear first task.

This three-day plan keeps things simple. By the end of day three, your VA should be doing real work, and you should know whether it's a good fit.

Before day one: get the basics ready

  • Pick two or three starter tasks. Repeatable, low-risk work like inbox triage, scheduling or listing updates. (Need ideas? See 10 tasks to hand off in your first week.)

  • Set up access. Create a separate login for your VA wherever you can, and use a password manager to share access safely instead of sending passwords in chat.

  • Choose one place for tasks. Decide where requests, updates and files will live so nothing gets lost.

Day 1: welcome and walkthrough

Spend 30 to 60 minutes on a video call. Introduce your business, your customers and what a good week looks like for you. Then walk through the first task while sharing your screen, and record it so your VA can watch it again.

Finish the call with clear answers to three questions:

  • What are my tasks this week?

  • How do I ask questions?

  • How and when do I report what I've done?

Day 2: first real work

Let your VA do the task on their own, using the recording and your notes. Expect a few questions. That's a good sign, not a bad one. At the end of the day, review the work and give specific feedback: what to keep doing, and what to change.

Ask your VA to write the steps down as they learn them. These notes become your first process documents, which save you from explaining things twice.

Day 3: add the next task and set a rhythm

If the first task is going well, add the second one. Then agree on a simple routine:

  • Daily: a short end-of-day update covering what's done, what's in progress and any blockers.

  • Weekly: a 15-minute check-in to review priorities and plan the week ahead.

By now you'll have a good sense of how your VA communicates, how quickly they learn and the quality of their work.

Common onboarding mistakes to avoid

  • Handing over everything at once. Start small and build up.

  • Expecting your VA to read your mind. Share examples of "good" work.

  • Feedback only when something goes wrong. Tell them what's working, too.

  • Scattered communication. Requests across email, text and chat are easy to miss.

Three focused days of onboarding can save you three months of frustration.
