One of the first questions people ask about hiring a VA in the Philippines is "won't the time difference be a problem?" Handled well, it's actually one of the biggest advantages. Your business can keep moving while you sleep.
Here's how to make it work.
Understand the difference
The Philippines runs on Philippine Standard Time (UTC+8) and doesn't change its clocks for daylight saving. Depending on where you are, that puts your VA anywhere from a few hours to half a day ahead. Write down the difference and keep it handy, especially if you're in a place where the clocks change twice a year.
Choose your working style
Option 1: Match your hours
Many Filipino VAs are used to working night shifts so they're online during your business day. This is ideal if your VA handles live tasks like answering calls, chat support or same-day scheduling.
Option 2: Overlap for a few hours
A two to three hour overlap each day gives you time for quick questions and handoffs, while the rest of the work happens independently.
Option 3: Work while you sleep
For tasks like inbox triage, data entry, listings and reports, your VA can work during their daytime and have everything ready when you start your day.
Plan clean handoffs
When you're not online at the same time, the handoff is everything. Before you finish your day, leave clear instructions for anything new. Before your VA finishes theirs, they should leave an update on what's done and what needs you.
Use daily updates instead of real-time chat
An end-of-day report is the backbone of working across time zones. A short summary of what's done, what's in progress and any questions means you're never left wondering, and your VA isn't stuck waiting for an answer.
Keep everything in one place
Messages scattered across email, text and chat are hard enough to follow in the same time zone. Keep tasks, files and conversations together so whoever logs on next can pick up exactly where the other left off.
Agree on what counts as urgent
Decide together what's urgent enough to message outside working hours (if anything), and how. Clear rules prevent late-night pings on both sides.
The time difference isn't a gap. It's a head start on tomorrow.
How this works with Virtual Raket
Our Raketors work with clients across time zones every day. In RaketBase you can see when your Raketor is online, check the hours logged each day, follow tasks on the Project Board and read end-of-day reports, so you're always in the loop, whatever time it is where you are.
During your discovery call we'll talk through your schedule and recommend the right setup. Book your call.
